Staff Accountant
Corporate. Irvine. F/T, Monday - Friday, 8:00 a.m. - 5:00 p.m
Responsibilities Include:
Cash Receipts
- Records cash, check and credit card receipts into the accounting system. This includes contract payments invoiced in the accounts receivable module.
- Ensures that all transactions are processed in accordance with organizational policies and procedures and generally accepted accounting principles.
- Reconciles accounts receivables per receivable module to general ledger.
- Follows up on outstanding receivables and outstanding supporting documentation deposits received.
Bank Deposits
- Remotely deposit checks.
- Prepare deposits that need to be taken to the bank on a weekly basis.
- Scans and files check copies, credit card authorization, payment notifications, deposit slips and confirmations into cash receipt database.
- Maintains electronic and hard copy files, and provides documentation as needed.
Accounts Payable
- Matches invoices with purchase orders and receipt confirmations, verifies accuracy of invoices from vendors and check requests prepared by program staff, inputs check requests to the Accounts Payable system, prepares and processes emergency check request as needed, interfaces with program staff and vendors to resolve discrepancies, resolves past-due issues on vendor statements, checks Accounts Payable reports for accuracy and makes necessary corrections.
- Reviews requisitions for appropriateness of order information and authorized approvals; reviews all requests for appropriate documentation and approvals prior to payment.
- Enters and processes mileage reimbursements. Maintains the Company Mileage system and updates information in the system as required.
- Enters and processes restitution payments including court disbursements, online payments and cash/money order receipts. Work with the Restitution Department to update victim information and resolve any returned checks.
- Ensures that all transactions are processed in accordance with organizational policies and procedures and generally accepted accounting principles; maintains files and provides documentation as needed.
- Ensures complete and accurate general ledger coding for all transactions.
- Reviews Accounts Payable and other payables for possible accrual documentation needs.
- Identifies and tracks specific vendors in accounts payable to produce 1099-MISC report at the end of calendar year.
- Files and maintains accounts payable vouchers.
General Accounting and Month End Close
- Prepare and submit Journal Entries as needed.
- Support Payroll with additional entry, review and filing as required.
- Support Credit Card with researching, preparing and entering credit card expenses into the accounting system. - Ensure proper documentation is received for all transactions and all transactions are appropriately coded and authorized as required.
- Perform account reconciliations as assigned for month end close process.
- Supports grant audits and annual audits as requested.
- Completes tasks as assigned for month end close process.
- Performs other related duties as required by the Controller and/ or the Chief Financial Officer.
Requirements Include:
- Bachelor's Degree required in Accounting with basic knowledge of accounting and business practices.
- 2 years’ experience as a staff accountant or equivalent position.
- Experience with Microsoft Excel and knowledge of server-based accounting software applications.
- Effective written and verbal communication skills and mathematical ability.
Pay range: $26.00 - 29.00 per hour
